Job Description

General Responsibilities
📊 Support the Business Services Manager in managing all Assystem UK offices, ensuring alignment with business needs.
🤝 Collaborate with the HSEQ Team to maintain a safe work environment for all staff and contractors.
💼 Assist with management reports and build strong relationships with IT, Security, and Legal & Compliance teams.

Facilities Management
🧾 Process invoices, raise and receipt purchase orders within the Business Services budget.
🏢 Liaise with facilities suppliers, host site visits, and respond promptly to Facilities requests.
💻 Maintain the facilities dashboard, Matrix (desk booking), and Egencia (business travel) systems.
💡 Seek cost-saving opportunities while ensuring compliance.
🔑 Act as the go-to person for Sunderland site facilities, managing landlord relations, repairs, car park arrangements, and the Facilities tracker.

Administration
📞 Handle telephone calls, take messages, and direct to the appropriate personnel.
📬 Manage post, organize postal services, and oversee MOD courier duties.
💰 Manage petty cash, ensuring accurate logs and receipts.
🆕 Administer new starter and leaver processes, including ID passes, parking permits, and Teams channel access.
🎉 Lead the planning of Sunderland social events and the Christmas party.
🧹 Oversee the cleaning contract and ensure office cleanliness standards are met.
🔄 Manage the Keyholder rota weekly to ensure office coverage Monday to Thursday.
👥 Handle general office/reception duties, including greeting visitors, managing deliveries, and organizing catering for meetings.
📋 Conduct Right to Work checks to support the People team.
